AI in the client portal: your firm decides whether clients are informed or asked for their agreement

If your clients use AI functions in the portal, a notice tells them what is transmitted. Your firm reviews the text, approves it and chooses: off, inform, or require agreement.

In one sentence

Before your clients use AI functions in the portal, a notice tells them what is transmitted in the process; your firm determines the wording and whether clients are only informed or must give their agreement.

What this is about

In the client portal, clients can have a document or a deadline explained, classify documents or use the voice assistant. In the process, text is transmitted to AI services. The notice on AI support says so openly and also names the limits of masking. It applies only to AI functions that clients trigger themselves in the portal, not to the internal analysis of your case file.

In three steps

  1. Review the template: In the settings, section “Client portal”, a template is available in all seven client languages, with a preview. Optionally, you add a paragraph of your own, for example a contact person for questions about AI.
  2. Approve: With “Approve”, the text is frozen in all seven languages. Every later change is a new version.
  3. Choose how it is used: “Off”, “Inform” or “Require agreement”. “Inform” is the factory setting; as long as you do not approve your own version, clients see the platform's standard text.

What clients see

With “Require agreement”, the invitation contains a second checkbox, and the portal also checks the agreement on the server, not only in the interface. Existing clients are asked once: “Agree”, “Decline” or “Decide later”. If a client declines or withdraws agreement, only the AI functions in the portal are turned off; documents, messages and appointments remain usable. If you later approve a new version, clients who agreed to the old one are asked again once.

Every decision is stored with the time and the text version, and you see how many clients have agreed, declined or withdrawn their agreement.

What it does not do

  • The text is not legal advice. Your firm reviews it and is responsible for it; also check whether your data processing agreement covers the portal.
  • A withdrawal only takes effect for the future.
  • Your clients pay nothing for the AI functions; they run on your firm's quota.
