Firm & DMS
The firm’s DMS and document storage: folders, a document viewer with source passages, content search and the overview of all of the firm’s cases.
All recordings use fictional sample data – no real cases, people or file numbers. AI output can contain errors and does not replace legal advice.

Images: 5Dashboard “What now?”: Deadlines, Appointments and Suggestions by Urgency
The lawyer dashboard begins with the note that new documents are screened automatically: the AI detects deadlines, document type and next step as a suggestion and does not enter deadlines itself. Below, “What now?” summarizes deadlines and appointments as well as suggestions by urgency, such as a possible deadline whose date you check, or a court hearing. Each suggestion names the case and can be accepted with “Adopt” or dismissed with the cross. This way you see at a glance what needs your attention first; it does not replace your own deadline control.

Ctrl+K: Find Pages, Cases and Actions in One Input
The search at the top opens with Ctrl+K a window in which you type a page, case, document or action. Below are the actions New case, New assistant chat, Draft contract, Draft pleading and Suggest next steps, each with a short explanation. You choose an entry and start the task without clicking through the navigation. This saves steps when you already know what you are looking for.
Notifications: Filter Deadlines, Clients, Agents and Billing Separately
The bell leads to a separate overview for analyses, letters, payments and deadlines. Tabs filter by type, that is Deadlines, Clients, Agents, Billing, Firm and Support, and show how many notifications are pending in each. You tick off each notification individually, or collectively with “Mark all as read”, and “Unread only” hides what is done. This way a deadline notice does not get lost in the noise of agent runs.
My Work: Deadline Notices and Urgent AI Suggestions in One Place
The “My work” list bundles deadline notices, court hearings and urgent suggestions from the background agents in one column. Each entry names urgency, case and source and can be opened directly in the case with “Open” or ticked off with “Done”. This way you see every morning at a glance what needs attention instead of going through several cases one by one. A switch separates your own list from the view of the whole firm. The deadline notices are suggestions to review, and you confirm the date yourself.

Ablage und Dokumente
Images: 3Firm DMS: Search Cases, Upload and File Documents
The firm DMS is the firm’s central storage: at the top you search cases by title, client or opponent and expand their folders, and “To the case” jumps straight there. Below lie the documents not yet assigned to a case, with Upload, New document, Import and Recycle bin. A note shows that PII masking for the AI is switched on. This way you have cases and loose documents in one place, and via “Query firm-wide facts” you can query facts from several cases.
Case Document Storage: Folders, Origin and Evaluation Status
The document storage of a case shows folders with counts on the left, such as Inbox, Draft for review, Analyses, AI drafts, Conversation notes and Client documents. On the right are the documents with origin (“From: …”), date and evaluation status; notices such as “4 documents without extracted facts” offer “Evaluate now”, and “4 new documents since the last summary” can be filtered with “Show new only”. You search in the title or in the content. This way you see at a glance what the AI has already read and what is new.
Case Document Storage: Folders, Search and Status per Document
The document storage of the case shows a folder tree on the left (Inbox, Draft for review, Analyses, AI drafts, Client uploads, Storage only without AI) and on the right the documents with file type, date, size and status labels such as “Summarized” and “Facts detected”. Above the list you search by document name or in the content and sort; you drag documents into folders and upload files from your computer. With “Request documents” you ask the client specifically for documents that land directly in this case. Folders such as “Storage only (no AI)” keep documents out of the AI evaluation.

Images: 10Firm Memory: Four Levels, Only Confirmed Content Flows into AI Answers
Firm memory bundles four levels in one place: “My memory”, “Firm knowledge” with shared staff knowledge and the firm playbook, “Clients” and “Opposing parties”. Each card states the number of confirmed entries and leads with a button into maintenance. At the top it says that nothing enters the memory without your confirmation and that assistant, Canvas, Lex & Lexi debate and moot court show in the answer which levels were used. In the sample firm no entries are confirmed yet, so the counters stand at zero.
Opposing Parties: Register with Case Count and Notes Across Cases
The opposing-party register lists the opponents the firm has encountered, with type, number of cases, last activity and number of notes. Via the search field you find an opposing party, via the icons you edit or delete entries; a link leads to the administration of the conflict check. Notes apply across cases, for example on negotiating style or payment behavior, so that experience with an opponent is available in the next case. In the sample firm only one opposing party is assigned to a case.
Activity: Who Opened Which Case or Document and When
The Activity page shows who in the firm opened which case and which document and when, for you, your team and the client portal. Tabs separate “In my cases”, “Only by me”, “Firm” and “AI log”; filters narrow by event, action, agent run, document version, relationship graph and other types. Each row names the time, case and trigger, and for some actions “Undo” is available. This keeps it traceable what happened, including AI runs such as summaries or automatic screening.
Appointments: Set Up Availability, Appointment Types and Online Booking
The Appointments page shows the upcoming appointments at the top; as long as there are none, a checklist names what is still missing for online booking: set availability windows and activate and make public at least one appointment type. Below, you create weekly time windows in the firm’s local time from which the bookable times are calculated, and define appointment types with duration, format and lead time. “Public” means that a type appears on your booking page. You manage deadlines not here but under “My work”.
Conflict Check Without a Hit: Name Is Not Known in Your Cases
On the “Blocklist for mandate requests” page, the conflict check compares a name against clients, opposing parties and opposing counsel of the cases of your firm that you may see. Here it reports “No hit in your cases”. Below, it states how precisely the comparison works: upper and lower case, umlauts, titles and the order of name parts do not matter, abbreviations and other spellings are not found. The check is free, runs without AI and does not replace your own conflict review.
Conflict Check With a Hit: Opposing Party Already Recorded, File Number Included
If your name comparison returns a hit, a notice box appears: the name is already recorded in your firm, please check for a possible conflict of interest. The hit names the role, here opposing party, and the file number as a link straight into the case. This way you recognize before accepting a mandate that your firm has already faced this company. The check is free and runs without AI, and assessing a conflict of interest remains your task.
Opposing-Party Register: All Opponents with Case Count and Last Activity
The opposing-party register lists every opposing party your firm has encountered in previous cases, with type, number of cases, last activity and number of notes. The notes apply across cases. Via the search field you find an opposing party, and via the icons on the right you jump to the conflict check, edit or delete the entry. A link at the top leads to the administration of the conflict check. This way you do not have to search again when the same opposing side appears again.
Record Client Master Data: Private Person, Organization or Authority
The “Client master data” form records a person lean: type (private person, organization or authority), name, email, phone, file number and internal notes. Further details can be expanded as needed, and saving takes one click. You maintain the master data independently of the client portal; a note above shows when the portal is not yet activated for your firm. This way you have the contact details of your mandates organized in one place before you link them to a case. The details in the image are sample data.
Mandate Inbox: Requests with a Mandatory Notice on the Conflict Check
The mandate inbox collects requests that reach you via Smart Legal Pro; as long as there are none, it shows an empty state with the button “Open marketplace”. Above it is a mandatory notice: before every acceptance you carry out the conflict check under BRAO and BORA (German professional rules for lawyers) on your own responsibility. A mandate arises only with an explicit mandate agreement, and the referral via the platform does not replace a review under professional rules. As soon as requests arrive, they appear here with their documents and an AI preliminary assessment, which you use as a suggestion for your own judgment.

Firm Playbook: Standard Positions from Your Own Templates
The firm playbook is still empty here and explains how it comes about: you upload three to ten of your own template documents, that is contracts or pleadings and correspondence, to the firm DMS. With a right-click you mark them as a “Playbook source”, on a touchscreen a long tap is enough. The AI recognizes by itself what kind of document it is and proposes suitable standard positions that you review. The playbook then serves as a hint when drafting and when reviewing third-party documents, not as an instruction; reading them out counts toward the AI quota per document.

Images: 6Lawyer Portal on the Smartphone: Dashboard with Navigation at the Bottom
On the smartphone the dashboard shows its content in one column: at the top menu, search, plus menu and notices, below it the note on the automatic screening of new documents, then “What now?”. A bar at the bottom edge leads to Dashboard, Cases, AI assistant, My work and Menu. The notices can be dealt with via “Understood” or “Turn off …”. This way you check what is pending on the go.
My Work on the Smartphone: Deadline Notices and Suggestions on the Go
On the smartphone the entries of “My work” appear one below the other as cards with urgency marker, title and case. Each card has the two switches “Open” and “Done”, and at the top you switch between your own list and the firm view. This way you check on the go which deadline notices and suggestions are pending and jump into the case with one tap. Long titles are shortened in the narrow window, and the full entry is in the case.
Notifications on the Smartphone: Deadlines, Agents and Clients
On the smartphone, the notifications collect analyses, letters, payments and deadlines in one place. At the top you filter by type, for example Deadlines, Clients, Agents, Billing, Firm or Support, and the buttons “Unread only”, “Refresh” and “Mark all as read” keep the list tidy. Each message shows the time and a short text, for example that an agent run has finished and the result is ready. This way you keep new notices in view on the go.
Conflict Check on the Smartphone: Hit with File Number in Seconds
The conflict check compares an entered name with the clients, opposing parties and opposing counsel of all cases of your firm that you may see. In the image it reports a hit for a sample name and names role and file number. The comparison is free and works without AI; it is nearly exact, and abbreviations and other spellings are not found. This helps, for example, at the first phone call with a possible client, but does not replace your own professional conflict review.
