Client portal

The client portal: how clients comment on versions, share documents and follow progress — and how the firm controls access and data protection.

All recordings use fictional sample data – no real cases, people or file numbers. AI output can contain errors and does not replace legal advice.

  • Enable the Client Portal: One-Time Confirmation of the Privacy Package

In the settings under “Client portal” there are four linked documents: the data processing agreement, the subprocessor list, the technical and organizational measures and the AI transparency. You read the documents, tick the box and confirm the package; only then does your firm use the client portal. This records that the firm has taken note of the documents on confidentiality and data processing, and you reach an activity and access log from there. The note in the image stresses that this confirmation does not replace a lawyer’s review in the individual case and that the firm, as a bearer of professional secrecy, remains responsible.

  • Client portal: clients see only what you expressly release

The excerpt from the product page explains the visibility principle of the client portal; on the right is a sample card in which a statement of claim is released, an internal strategy note is not visible and a deadline is marked “Response required”. Clients therefore see only case files with a stored viewing right and documents only after individual release, and deadlines appear only after express release per deadline. Five areas – chat, uploads, AI aids, document reviews and draft approvals – can be switched off individually, according to the page blocked on the server and not just hidden. This keeps you in control of what your clients get to see; your firm’s logo and accent color appear in the portal header.

  • Case file tab “Client & Portal”: decide per case what the client sees

The “Client & Portal” tab of a case file shows what your client sees for this case; you decide for each area individually whether it is visible. In the picture, the firm’s client portal is not yet switched on, so the page only shows what the portal would do for the case and leads via “Open portal settings” to the settings. Three benefits are named: clients upload documents themselves and the AI reads them only after your release, messages run in the secured area instead of by email, and for each document it is logged when it was opened through the portal. The firm decides on switching it on; clients see something only once you release it individually.

  • Create a Client: Master Data Independent of Portal Access

The “Clients” page holds the master data of your mandates, independently of the client portal; in the image the form for a new client is open. You choose the type (private person, organization or authority), enter the name and optionally add email, phone, file number or reference and internal notes, and expand further details as needed. This keeps contact details and notes structured in one place. The note “Client portal not active” shows that no portal access can yet be granted in this image; via the buttons above you reach client chats, requests to clients, online appointments, the mandate inbox and the mandate marketplace.

  • Conflict Check: Compare Names Against All Cases, Blocklist for Requests

On the “Blocklist for mandate requests” page the conflict check sits at the top: you enter the name of a person or company, and the check compares it with clients, opposing parties and opposing counsel of all cases of your firm that you may see. It is free, runs without AI and, according to the page, is also carried out automatically when a case is created and documented in the case header. Below, you block people by user ID for the mandate marketplace; they are then no longer suggested to you and cannot be unblocked. The comparison is nearly exact and does not find abbreviations or other spellings; the conflict check under § 43a (4) BRAO (German Federal Lawyers’ Act) remains your own duty.

Kontakt und Unterlagen

  • Contact client: five ways via link without sign-in

From the case file, “Contact client” opens a window with five cards: Request documents (marked as recommended), Have questions answered, Have a document reviewed, Hold a conversation and Short message. You choose the card that fits your matter, and the client receives a link for which no sign-in is needed; for documents, the uploads land directly in the case file. This saves email attachments and keeps communication about the case in one place. The lower part of the window lists the previous requests and conversations for this case, and in the picture there are none yet.

  • Requesting documents by checklist instead of email ping-pong

The excerpt from the product page shows on the left a sample card “Request documents” with three items – submitted and matching, submitted with a missing date, still open – and on the right the explanation. You send your clients a checklist, every upload lands in the case file’s DMS and is checked against the respective item: document type recognized, matches or does not match, specific gaps. This way you see at a glance what is still missing instead of hunting for attachments in emails. New uploads stay in quarantine at first, the AI reads them only when you release them specifically; “What is still missing?” delivers an AI gap analysis using your quota.

  • “Call the firm”: clients speak, the firm reads the note

The excerpt from the product page describes the phone assistant “Call the firm”; on the left is a sample card of a call note with concern, urgency and callback request. If the function is activated in the firm settings, clients see the “Call the firm” button in the portal and talk to an AI voice assistant that takes in the concern in a structured way and then creates a note that you read. According to the page, fixed limits apply to every call: no legal advice, no forecasts, no statements on costs; the assistant refers to a personal conversation. Your firm knowledge such as opening hours, responsibilities and emergency number flows into the call, confidential matter data deliberately does not belong in it.

  • Access log: every document retrieval in the client portal is recorded

In the upper part of the excerpt it says “Every access is logged”, with a sample “Access log” card: entries such as statement of claim viewed, statement of claim downloaded, magic link created for a document request and an answered deadline. Every document retrieval through the client portal is logged per document; the log proves the retrieval, not that it was read. For third parties without their own account, such as opposing side, insurer or expert, time-limited magic links open the same secure route without registration. These links expire and are visible in plain text only once after creation.

Rückmeldung und Freigabe

  • Client feedback on the contract: comments from the client portal

In the document window of a contract version, the right column shows three remarks under “Comments”, each labeled “From client portal”. Each comment has a reply field, a checkmark to resolve it and a trash can to delete it; the version itself is marked “View only”. This way you see what your client notes on the released version and can react directly in the document, without collecting feedback from emails. The comments in the example concern the payment plan, acceptance and remuneration under a contract for work (Werkvertrag), including a question to the firm.

  • Approval round completed: feedback adopted as a new version

At the top, the document reports “Adopted as version 4. This approval is closed.”, and the contract text below is view-only. In the right column, the “Changes” tab shows the note “No open changes”, and the “Comments” tab counts three entries. With that, the round with the client is complete and the status is recorded as its own version, so that it can later be traced what was adopted. The note in the tab also states that suggestions are only final after your decision and that this route uses no AI quota.
