Collaboration & sharing
Sending documents for review, requesting documents and collecting feedback – even without a client portal: create a link, set its validity, revoke it, plus the guest pages without an account where recipients view, comment and upload.
All recordings use fictional sample data – no real cases, people or file numbers. AI output can contain errors and does not replace legal advice.
The screenshots show the English interface; sample data and documents are partly in German. Smart Legal Pro itself is fully available in German, English, French, Italian, Spanish, Dutch and Polish.
Zur Prüfung senden
Images: 5Send a document for review, even without the client portal
In the law firm's DMS, you right-click "Manage document" and there choose "Send for review". The dialog offers a note to the client, the option "Binding – your client must expressly approve" and the route "By link, without login". For this, the document is released to the client, who always sees the current version. This way a review works even if the client has no portal account.

Create a magic link: recipient, language and validity
The dialog "Send magic link" requires only a name for the recipient; an email address is optional. You also choose the recipient's language, in which the guest page appears, and the validity in days. "Create link" generates the link, and the contact details can be saved in the client management if needed. The recipient needs no account of their own to view and reply.

Link created: copy it, pass it on, keep an eye on validity
After creation, the dialog shows the finished link with a button to copy it and the notice that it is valid for 14 days. Because no email address was entered, it says "please share the link manually"; with an address, the law firm would send the invitation itself. The plain-text link can no longer be retrieved after closing, because only a checksum is stored. With "Done" you close the dialog.

Active link: recipient and expiry date at a glance
If you open "Send for review" again, the dialog recognises the existing link: "An active link already exists for this request" with recipient and expiry date. There are no two parallel links for the same review, so it stays clear who may see what. If you want to issue a new link, use "Close & create new"; the old link then loses its validity.

Revoke a link: confirmation before closing
Before closing, the dialog asks "Close link and create a new one?" and explains that the existing link will no longer work afterwards. You can then create a new link for the same request. The red confirmation prevents an ongoing access from being ended by mistake. Anyone holding the old link then sees an understandable message that the review has been withdrawn.

Images: 6Guest view without an account: view the document and give feedback
Whoever opens the link sees at the top the law firm with the responsible lawyer, the note and exactly one document, here "Ablehnung-Autohaus" (rejection letter to the car dealership), with the notice "Binding". Below are the comment field and three decisions: approve bindingly, request revision or reject. Binding approval only becomes available once the document has been opened. The date until which the link is valid is clearly visible in the box; no account is needed.
Guest writes a comment, without a decision
Here the guest has written a question about the statute of limitations in the comment field. With "Send comment only (no decision)" it goes to the law firm without the guest approving or rejecting. The link stays active, so a decision can still follow later. A notice at the bottom explains that the feedback is transmitted in encrypted form and that nothing is adopted without review by the law firm.
Feedback sent: the guest knows the law firm has been informed
After sending, a green tick appears with "Thank you! Your comment has been passed to the law firm." and the notice that the law firm has been informed and the window can be closed. The message gives the appropriate confirmation depending on the decision, for example for approval, revision or rejection. In the case file, the feedback appears for the law firm for further handling.
Guest page on the smartphone: review and reply in one column
On the smartphone, the note, document link, comment field and the three decisions are stacked in one column. The buttons are large enough for a thumb, and the labels stay legible, even for "Request revision". The recipient opens the link straight from the email and needs neither an app nor an account. The notes on bindingness appear beneath the buttons.
Revoked link: the guest page explains it in plain language
If the law firm has closed the link, the guest page shows the message "This review has been withdrawn by the law firm." Neither the document name nor a button to open it appears, so the guest sees nothing that had been released. Anyone who is passed the link can no longer open anything with it. The page loads in the language that the link specifies and ends in a calm error message rather than a technical error screen.
Expired link: notice and a way back to the law firm
If the validity has expired, the page reports "This link has expired. Please contact the law firm." Here too, it shows nothing of the content of the release. The law firm sets the validity per link, up to 60 days; a new link is issued in a few clicks. This keeps access limited in time without leaving the recipient at a loss.
Unterlagen anfordern
Images: 10Request documents: message, deadline and list of documents
The form "Request documents" consists of a message to the client, an optional deadline and a list of individual items, each with a note, for example "please both sides". Suggestions for typical cases such as tenancy or employment and "Draft with AI" are available on click; the AI then uses a small part of the quota. Here everything is filled in by hand, and nothing runs on its own. With "Request" you create the request.
Open request: progress, deadline and "Send by link"
The created request shows the message, the progress "0/3", the deadline and each item with its status "open". From the card you send it with "Send by link", follow up with "Request more", complete with "Complete" or withdraw it. "What's still missing?" summarises the rest, and automatic reminders are switched on. For clients without portal access, this is the way to collect documents in a structured manner.
Send the request by link: name the recipient
From the request, "Send by link" opens the same dialog as for the review, here with the text that the recipient can upload the requested documents without an account of their own. You name the recipient, choose language and validity, and create the link. The address is optional and only needed if the law firm is to send the invitation.
Upload link ready: copy it or pass it on yourself
The finished upload link is ready to copy, with the notice beneath it that it is valid for 14 days and, without an email address entered, is shared manually. There is one active link per request; if you want to serve a different recipient, you close the old one and issue a new one. The recipient opens the upload page in the browser without logging in.
Upload page without an account: upload documents item by item
The upload page greets the recipient with the law firm's message and the list of requested documents, including the progress "0/3". Each item has its own "Upload" button; further files can be added at the bottom by dragging or selecting, up to ten files of at most 25 MB each. A notice explains that the files are transmitted in encrypted form and made available only to the law firm. No account is needed.
Upload on the smartphone: upload documents directly
On the smartphone, the list of requested documents is in one column, each item with its own "Upload" button. Below it follows the area for adding further files. On tapping, the phone offers files or photos from the gallery, so that, for example, a photo of the damage can be uploaded directly. The law firm sees each file in the case file only after its review.
File uploaded: "received – the law firm is reviewing"
After uploading, the file appears under the item with the status "received – the law firm is reviewing", and the progress counts up to "1/3". If the wrong file was chosen, the guest withdraws it themselves with "Withdraw", as long as the law firm has not reviewed it. The law firm then receives a notification. The sample file in this image is a fictitious purchase contract.
Document received: review and accept it in the waiting area
When the guest uploads a file, it appears in the "Guest upload" area under the recipient with the status "awaiting review". Beside it are four icons for viewing, pre-checking, accepting and rejecting. Only acceptance places the file in the case file and ticks off the matching item of the request; in the case of a rejection, you give the guest the reason. This way nothing enters the case file unchecked.
Guest upload for third parties: other side, insurer, expert
In the "Guest upload (third parties without an account)" area, you request documents from the other side, an insurer or experts. You enter the contact person or office, optionally an email address, and create the link to an upload page without login. Every file first lands in the waiting area and enters the case file only after your acceptance. This works independently of the client portal.
Requests on the smartphone: status and link
On the phone, the "Request documents" card shows the message, progress, deadline and the individual items with their status in one column. "Send by link", "Withdraw", "What's still missing?", "Request more" and "Complete" remain reachable with large buttons. This lets you check straight after a conversation with a client what is still missing, and send the link again if needed.
