Responding to a document

React directly to a letter or notice you have received – the AI is familiar with the original.

Under reply letter, you can create a reply to a document you have received – such as a notice, a payment reminder, or a termination notice. The difference compared to the template catalog: Here, the AI is familiar with the original document and addresses its content specifically in your reply.

How it works

  1. Select document. Choose a document that has already been uploaded from My documents – or start directly from the document analysis ("Create reply"). In the selection list, search by name or date; the star (★) marks the document you are replying to, and a checkmark adds another document as a basis. This allows you to select up to four additional reference documents (e.g., contract, payment reminder, and notice) that the letter will also be based on – if the document belongs to a matter, "Select all from this matter" is sufficient. Each additional document incurs an extra charge; the amount is stated directly next to the selection, and the estimate shows the base price and extra charge separately before the order. Documents excluded from AI evaluation appear grayed out and are never included in a letter. Documents without readable text are marked as "No readable text – cannot be selected"; this ensures that a paid letter never results in an empty output.
  2. Define position. Briefly describe how you would like to react (object, request a deferral, reject a claim, etc.). Detected arguments from the analysis are suggested and can be adopted individually or adjusted. You also select the tone (factual, firm, escalating, or conciliatory – if a tone is stored in your profile, it is preselected) and optionally the type of recipient (authority, company, private individual, or law firm), which determines the salutation and language register. Under "Deadline for the other side", you specify by when you expect a reaction – 14 days is standard; please check statutory deadlines separately.
  3. Check sender. Sender details and signature are taken from your active identity (Private or Business View). If anything is missing there, the assistant will inform you at this stage – not just after the order.
  4. Create. The button states the price ("Generate letter · …", see Where do I see what something costs before I start?); the charge is only processed after confirmation. During creation, you will see the steps "Reading documents", "Drafting the letter", and "Checking legal citations" – this usually takes less than two minutes.
  5. Review, edit & send. Via "Open & send", you reach the letter overview. The box "Basis of this letter" shows which documents were included – in full or as an excerpt with a share. You can adjust the finished letter and download it as a PDF or DOCX – in the language of the letter. With "Copy text", you can insert it into a contact form, for example, and "As email" opens your email program with the subject and text. If the deadline in the letter is now approaching or has expired, a notification will point this out, and you can adjust it before sending with "Adjust deadline".

Additionally, you select the length of the letter (Concise, Normal, or Detailed) – as in the template catalog, the price does not depend on this, and a length stored in the settings is preselected.

Which path to choose?

  • Reply letter: You are reacting to a specific received document.
  • Template catalog (Creating legal letters): You are starting a letter yourself (termination, objection without a template document, notice of defects, etc.).
  • Writing assistant (The Writing Assistant: Free Description): You are unsure what you need – describe it freely, and the AI will guide you.

Important

  • The reply is a template/initial assessment, not a legal letter. For important matters, have it checked before sending (Finding a lawyer).
  • Detected deadlines from the original (Keeping track of deadlines) can be seen directly next to it – please reply in time.
