An end to email ping-pong before every contract
Anyone who draws up employment contracts, freelancer agreements or engagement letters knows the problem: before the contract is final, you are typically still missing the other party's IBAN, social security number, tax ID, date of birth or full address. Collecting this data by email is tedious, error-prone and awkward from a data protection point of view.
Co-Fill solves this in Smart Legal Pro: in the contract wizard you select exactly the fields you want the other person to complete, then send a secure, time-limited link. You only generate the contract once the data comes back.
How Co-Fill works
- Mark the fields — in the wizard you choose, field by field, whether to fill it in yourself or request it from the recipient.
- Send the link — enter the recipient's email, add an optional note, done. The invitation goes out via our Brevo mailing service.
- The recipient fills it in — no account needed. The public page shows only the fields you have requested, in the chosen language (DE/EN), with a reference to the privacy notice and legal notice.
- Track the status — in the wizard you see, for each recipient: sent, opened, data submitted. You can resend or deactivate the link.
- Generate the contract — as soon as the data is in, it is carried over into the draft and you create the contract as usual.
Why this matters
- Less friction — no PDF form by email, no chasing up over typos in the IBAN.
- Clean data flow — fields land straight in the contract draft, not in an email attachment.
