The hurdle we're removing
A client who just needs to submit a missing document or answer a follow-up question doesn't necessarily need their own Mandantenportal account with a password. For exactly this common case, there's now a second, lighter-weight route.
Five ways to reach a client — now all in one list
Our Anwaltsportal already had several "ask the client for something" mechanisms, but they used to be scattered. They now run together through a new firm-wide overview:
- Request a document (Collector) — a time-limited link a client uses to upload specific missing documents.
- Submit a document for review — you present a draft, and the client confirms or comments on it.
- Guest upload — for third parties who have no client relationship with you at all but need to contribute a file.
- Quick follow-up question — a single, targeted question about the case.
- New: Client conversation — a free-form, guided conversation with no case file attached, for first contact before a matter is actually opened. On request, the AI summarises the conversation — but only if you actively ask for it, never automatically in the background.
All open requests — regardless of channel — are now available in one place in the Anwaltsportal, with status, type, and a direct jump to the right case file.
How it's technically secured
The access link itself is never stored in plain text — only its cryptographic hash. Depending on its purpose, it automatically expires after 14 to 60 days, and an hourly job cleans up expired links. The client sees only what the link was issued for — not the entire Mandantenportal.
What deliberately stays manual
A later, full Mandantenportal sign-up by the same client is not merged automatically via an email match — that would create a real risk in the event of a typo or a spoofed sender. You confirm the merge yourself, deliberately, as the lawyer. One small extra click — well worth it for the security of your client data.
