Your mail arrives – without mailbox access.
You forward e-mails to your personal inbox address or add it in blind copy. A beA export, a case-file access package, a ZIP or scans you add as one delivery. In the mailroom you sort, file to a matter in whole or in part and decide per file whether the AI may read it. No sign-in with Microsoft or Google, no access to your mailbox.
Forward instead of connecting a mailbox
You get a personal inbox address. You forward a single mail, put your outgoing mail in blind copy, and a rule in your mail program handles recurring senders. For clients and courts you can additionally choose a readable firm address. You confirm further sender addresses with a code.
- Set up free of charge, without signing in to Microsoft or Google
- Readable firm address and further sender addresses
- in-…@post.smartlegalpro.com
- Forward · blind copy · rule
- No access to your mailbox
What belongs together stays together
A ZIP, a folder, a case-file access package, a stack of scans or – in Germany – a beA export is taken in as one delivery: you see it as a whole, file it to a matter in whole or in part and delete it as a whole. For each file you decide whether the AI may read it automatically, only on request or never; new files start on “Only on request”. Nothing is fetched automatically – you add packages yourself.
- File in whole or in part – each file keeps its AI level, nothing opens silently
- See the consequences before moving – including when shuffling back and forth could cause double costs
- Content: 3 · Evidence: 1 · in the package: 3
- AI level: only on request
- Filed: 3 of 3 content files
Into the matter with one click
When filing, you choose the matter and which attachments go along; the mail itself is saved as an original. The platform makes suggestions without AI – such as a file number in the subject or a reply to a mail already filed – and states the reason. The contents of a ZIP archive are unpacked only when filing and only with the files you selected. The copy in the matter stays even if you delete the mail in the inbox.
- Suggestions with reasons; filing only after your choice
- Blocked file types, nested archives and password protection stay out
- Suggestion: file number recognized in the subject
- Attachments: 2 of 3 selected
- ZIP unpacked only when filing
Summary and reply draft – only when you want it
For a mail you can request a summary: what it is about, which matter might fit and which deadline hints are in the text. It names a date only if it appears verbatim in the mail; everything else appears as a hint without a date. You edit the reply draft and send it on your click or open it in your own mail program. You see the cost beforehand; nothing runs by itself.
- Matter suggestion with reasons, no automatic assignment
- The arrival date is not a deadline start – you enter deadlines yourself
- Summons to a conciliation hearing
- No exact date appears in the mail
- Suggestion: matter 12/26 – you decide
Send from the firm – with the reply in context
Reply to or forward from the inbox, send documents from the DMS, write to clients – in your firm’s name. Every mail appears in the sent folder with its delivery status and a copy of the attachments. The reply comes back to your inbox through its own reply address and is linked to the mail and the matter. If the client has the portal, you choose between a portal message and e-mail. Mails are sent only on your click.
- The reply lands with the right mail and matter
- Follow-up if no reply arrives
- Sent · Delivered · Reply received
- Forwarding rules to confirmed addresses
- Record with a copy of the attachments
Spam, fraud and strangers under control
Mails from unknown senders, bounces, auto-replies and newsletters land under “Review” and are not evaluated automatically. A warning band names anomalies – such as a different reply address, a mail about changed bank details, an attachment with a double extension or a shortened link. You block unwanted senders with one click: their mails are never rejected but quietly sorted into the trash and can be brought back. The inbox remembers trusted senders.
- Warnings are hints, not verdicts – nothing is changed silently
- Blocking without any bounce to the sender, reversible at any time
- Changed payment details mentioned – confirm by phone
- Sender blocked: 3 mails in the trash
- Unknown sender: not evaluated automatically
Do I have to connect my mailbox?
No. You forward mails to your inbox address or add it in blind copy. There is no sign-in with Microsoft or Google and no access to your mailbox. Some IT settings block automatic forwarding – then use single forwarding or blind copy.
Is a mail assigned to a matter automatically?
No. There are suggestions with reasons; filing happens only after your choice. Mails from unknown or conspicuous senders are also not evaluated automatically.
Does the platform send replies for me?
Only on your click. The reply draft is created on your click and edited by you; it is sent only when you click Send – alternatively you open it in your own mail program or save it as a file. The AI can make mistakes – please check every draft.
What happens to spam and unwanted senders?
Unknown senders land under “Review”. You can block a sender: further mails are not rejected but quietly sorted into the trash for seven days and can be restored. Warnings are hints, not legal statements or verdicts.
Agents in this workflow
Inbox address: receives forwarded mails and sorts bounces, auto-replies, newsletters and unknown senders under “Review” so the inbox stays calm.
Summary: summarizes a mail, suggests a matter and names a date only if it appears verbatim in the text – only on your click, with the cost shown first.
Warning band and block list: points out forged senders, changed payment details and suspicious attachments or links – deterministic, without AI, as a hint only.
Control & safety
- No access to your mailbox: the platform only sees what you forward to it.
- The AI works only on your click and with the cost shown beforehand; matters blocked for AI stay blocked, and names are masked by default.
- Nothing is ever sent by itself: a mail goes out only on your click – or by a rule to an address you have confirmed. The date a mail arrived is not the start of a deadline – you enter deadlines yourself.
